1. Who we are
OneDiary provides simple booking, diary and deposit software for sole traders and independent service businesses.
For these terms, "OneDiary", "we", "us" and "our" means OneDiary, 28 West Haddon Road, Northampton, NN6 8QL. You can contact us at support@onediary.co.uk.
2. Using OneDiary
OneDiary is designed to help businesses create services, manage staff availability, share a public booking page, take deposits or payments, and keep track of bookings in a diary.
You must use OneDiary lawfully and fairly. You must not misuse the platform, attempt to access another account, upload harmful files, interfere with the service, or use OneDiary for anything illegal, misleading or abusive.
Businesses are responsible for the accuracy of their own services, prices, staff details, availability, cancellation policies, business profile and public booking information.
3. Subscriptions and platform fees
Business accounts may be charged a monthly subscription. The subscription amount, any trial period and any discounts are shown during setup or in the account area.
Subscriptions are billed monthly unless stated otherwise. A business may cancel online. When a paid subscription is cancelled, the account can normally continue using paid features until the end of the current paid period. We do not usually offer refunds for part-used subscription periods.
OneDiary may also collect a small platform fee from payments made through the platform. The applicable percentage, cap and any customer-specific arrangement are shown in the business account. Fees may vary between businesses, but changes to new customer pricing do not automatically change the fee arrangement already applied to an existing business account.
If subscription payment fails, OneDiary may show warnings in the portal and may restrict new booking functionality after a grace period. Existing diary information and account access may remain available so the business can manage their account.
4. Customer deposits and payments
Payments are handled using Stripe. OneDiary does not store card numbers or card security codes.
Where a deposit is required, the booking may be held while the customer completes payment. A booking is only confirmed when the payment flow completes successfully and the payment provider confirms the result.
If a customer leaves the payment page before paying, the appointment time may be released. If the payment journey is interrupted unexpectedly, OneDiary may keep the appointment on hold for a limited time and send a payment link where appropriate.
The business providing the service is responsible for the service, the final balance, refunds, complaints about the appointment itself, and any offline payment arrangements.
5. Bookings and cancellations
Clients can book through a public booking page as a guest or, where available, using a OneDiary client account.
OneDiary helps the business display availability and prevent obvious clashes, but the business remains responsible for managing its diary and honouring appointments it accepts.
Cancellation, rescheduling, deposit refund and no-show policies are set by the business unless OneDiary provides a specific platform rule. Clients should check the business's own terms before booking.
6. Accounts and access
Business owners are responsible for who they invite to their business account and what permissions they give them. Staff members must keep their login details secure and use only the access they have been given.
Clients who create a OneDiary account are responsible for keeping their password secure and for using accurate contact information.
We may suspend or restrict access if we reasonably believe an account is being misused, creates a security risk, breaches these terms, or is required by law.
7. Availability of the service
We aim to keep OneDiary reliable and easy to use. We may need to make changes, fix issues, perform maintenance or temporarily restrict parts of the service. We will try to avoid unnecessary disruption.
8. Liability
OneDiary is provided as booking and diary software. We are not responsible for the quality, safety, suitability or delivery of services booked with a business through OneDiary.
Nothing in these terms limits liability where it would be unlawful to do so. Subject to that, OneDiary is not liable for indirect losses, loss of profit, loss of business, loss of goodwill, or losses caused by inaccurate business setup, unavailable third-party services, payment provider issues, or misuse of an account.
9. Changes to these terms
We may update these terms as OneDiary develops. When changes are important, we will take reasonable steps to tell affected users. The latest version will be available on this page.
